Any writing is open to a range of responses that can vary almost infinitely, depending on the imagination of academics and administrative staff. Sort by such answers can be confusing, frustrating and, ultimately, long time.
One way to reduce the burden of data collection is to collect data via the web. It will take additional time to implement, but has many rewards useful when you just compile the data. However, care must still be taken to ensure that the data are collected in a form that is easy to load. In general, the rule for confirmation or data collection is to avoid simple text entry. Whenever possible, all data entries should be from a list or a menu, a set of radio buttons or checkboxes. The only type of input data that may be useful is the number. This should include information such as entry of material or components of courses or staff availability and preferences.
